A 30 – day courtesy hold can be placed for your specific date. A non-refundable deposit in the amount of $2500.00 is due within 2 weeks (14 days) of placing the hold. In addition to the deposit, proof of liability insurance and a “Site Use Agreement” must be completed by the coordinator/agent, in order to reserve the property for the specified event date. If a contract has not been initiated at that time, the reservation will be automatically dropped. Please note that by signing the agreement, the coordinator/agent (and your clients) are acknowledging that you are aware of all guidelines and restrictions regarding the use of “Hale Ko’olani”. Final site fee balance, security deposit, cleaning fee due 45 days prior to the event and is non-refundable. Hawaii State tax will be applied to the site fee. Late payments are subject to a 4.166% fee added to the balance due. Once the contract is issued, the client has 30 days to return the signed contract with deposit to insure the desired date is confirmed.

A security deposit in the amount of $2500 must be included in the final payment 45 days prior to the event date. This amount will be fully reimbursed on the first of the month following the event.

All deposits are non-refundable. Final site fee balance, security deposit, cleaning fee due 60 days prior to the event and is non-refundable. Unavoidable cancellations are the result of conditions beyond the control of property manager or wedding coordinator, such as, but not limited to war, strikes, fires, floods, governmental restrictions, power failures, or acts of God. The property manager assumes no liability for the coordinator/agent hereby waives any claims against the property manager as a result of property not being available for the event date for any of these reasons. Upon such an occurrence, the property manager will notify the coordinator/agent and will refund rental fees, cleaning fees, and deposits. The property manager shall have no further liability regarding any such cancellation nor will the property manager have any obligation to find a different location for the event. Changes in dates after the contract is issued will incur no penalties, and deposit monies are transferred to the new contract date based on availability. Site rules are subject to change and the coordinator will be notified of any changes prior to the wedding event.

Group transportation is required for guest counts exceeding 5 cars. Limited parking available for up to 5 cars in the designated parking area. Contact the property manager regarding the designated parking area. No parking allowed on street. Unauthorized and illegally parked vehicles will be towed at the owner’s expense.

Tent recommended as weather back up. Use of interior of house not available in case of inclement weather. Catering tent with light is required.

All garbage must be disposed of and hauled off. The responsibility for trash removal is assigned to the pre-authorized event coordinator. In the event that additional clean-up or trash removal is required as a result of the event, an additional clean-up fee of $500. will be charged.

No beverage glassware allowed.

There is no access to the main house, except for: The Bridal Suite and bathroom is available for bridal party preparations. Bridal suite bathroom for women only. The Bridal Suite can accommodate up to 6 bridal party comfortably. Guest bathroom located at the pool deck available for use. Removal of shoes inside the house is required. Client may not self-decorate including but not limited to hanging lights, hanging fixtures, or attaching objects to the structure. No use of tape, wire, nails, tacks, screws or any item that will cause permanent damage. No fire near the structure or under the ceiling. No dancing on grass. Use of beds or other furnishings for infants and small children is NOT ALLOWED. No glass allowed around the pool deck lanai. Broken glass near the pool deck is subject to a pool inspection fee or pool drainage fee. Swimming pool use is prohibited.

All vendors and services in direct relation to the contracted event must be pre-approved by the coordinator in advance of the scheduled event. A vendor list and contact information must be submitted to A Maui Wedding Day 30 days prior to the event date.

One restrooms located at the pool deck is available for guest use. One bridal suite bathroom is for women only.

The planner is responsible for removing cigarette butts from the lawn. Coordinator must provide a designated smoking area with an ashtray. The smoking area must be away from any structures and away from any dry brush areas. No smoking in the bridal suite, pool deck, or bathrooms.

Any occurrence of violent, abusive, belligerent behavior, illegal activity, inappropriate conduct, fighting, arguing, yelling, presence/use or possession of illegal drugs or drug paraphernalia will result in an immediate end to the event. The property manager or wedding coordinator reserves the right to “cut off”, stop or discontinue serving alcohol to any or all clients, guests or event attendees at or discretion.

All furniture and furnishings should remain in place, unless pre-authorized. Any loss or damages to furnishings will be deducted from security deposit. House items may not be used for the event.

Any excessive damage to lawn, landscape plants or irrigation will be charged to planner and deducted from security deposit. Damage exceeding damage deposit will be charged to the event coordinator.

In accordance with the Maui County Noise Ordinance guidelines, all music and entertainment must end by 10:00 pm. Music and excessive noise must cease at that time or refund of the security deposit will be at risk. Last call will be at 9:45 pm. DJ’s are prohibited from using the house sound system. $150. Fee for use of house sound system for ambient music only. Coordinator monitor’s noise decibal reader limited to 75 at 15 feet from speaker. Speakers must be placed next to the dancefloor at ground level, facing away from the house structure and toward the ocean, facing south.  DJ may not yell into the mic.  DJ must not speak into the mic excessively. No live bands. All guests must depart property promptly at 10:00 pm.
